When a client makes a payment through their App/Portal or an Administrator or Office Manager charges a client's payment method through their profile or logs a manual payment to an invoice, that payment amount is automatically applied to the selected invoice(s). Sometimes, however, that may not be the invoice that should have been paid. In this article, we'll discuss how to remove a payment from an invoice so it can be moved to a different one.

Step One: Removing Payment From The Wrong Invoice
Locating The Payment
There are a couple of ways to find the payment that you need to be apply to a different invoice. The first option is to open up the invoice that the payment is currently applied to and, from the newly opened Edit Invoice screen, scroll to the bottom of the page.
Here, you will see the Payments section, where any payments applied to the invoice will be listed. Click Edit to the right of the date the payment was made to open up the Edit Payment screen for that particular payment:
Another way to locate the payment is from the client's Balance Sheet. The Balance Sheet displays all invoices and payments associated with a client's account. You can view it by navigating to the client's profile and clicking the View link that is found under the client's overall account balance at the top of the screen:
By default, the Balance Sheet is filtered to show only "open" items, which refers to invoices that haven't been fully paid or open payments, which are funds that haven't been fully applied to an invoice yet. Since the invoice in question here has already been paid, you will need to adjust the Status dropdown menu to All Items.
You can even go further and change the Type dropdown menu to Payments to further filter what's being displayed here if you would like to only sift through the client's payments to find the one you're looking for:
Once you find the payment you're looking for, click the Edit button to the right of it to open up the Edit Payment screen:
Removing The Applied Payment Amount
No matter which of the two approaches above you followed, you will wind up at the Edit Payment screen. On the Edit Payment screen, you will be shown the date the payment was made, the full payment amount that was received, a list of invoices that the payment is applied to, the amount that is applied to each listed invoice, any internal notes you've made about the payment, and a History button that keeps a log of any changes or adjustments that have been made to the payment or which invoices it is applied to:
In this example, invoice #000102 had $125.00 applied to it from this payment. To remove the payment from the invoice, we will adjust the Amount Applied field to $0.00. Once it has been edited, the Amount Remaining field will update to say $125. This means that an open payment of $125 will be created once we select Save Changes, and that open payment can then be applied to a different invoice (or can be left on the client's account to be applied toward future services):
CAUTION: You do not want to edit the Amount Received field. If you are dealing with a payment that was processed with Time To Pet Payments, you will not be able to edit that amount, but if you are reapplying funds from a manual payment, that amount can be edited. However, that amount signals how much the client originally paid, and should only ever be edited if processing a refund outside of Time To Pet. For more information, please reach out to our support team and review our help documentation here: Facility: Logging A Refund Issued Outside Time To Pet.
Step Two: Applying The Payment To The Right Invoice
After refreshing the client's profile, you'll see an open payment balance on their account. This open payment can be applied to a different invoice as a tip, as a regular payment, or left on the client's account for future use.
Open payments are considered to be funds you have received from a client that are not currently applied to an invoice by the system as an organizational tool. The client's funds are not being held by the system and will be paid out to you as any other payment amount.
To apply an open payment to another invoice as payment toward an invoice's balance or as a tip, you will first need to open up the Edit Invoice screen for the invoice that you want to apply it to. If you want to apply the open payment as a regular payment, you will want to select Add Payment along the bottom of the screen. Doing so will prompt you to add any existing credits or open payments on the client's account to the invoice.
If you want to add the payment amount as tip to the invoice, you will first need to add the tip to the invoice. You can do so by clicking the Add/Edit Tip button along the bottom of the screen. After doing so, an unpaid balance should be reflected on the invoice. Click Add Payment and then choose to apply the open payment when prompted to apply it toward the balance created by adding the tip amount to the invoice:

FAQs
Q: I added a Manual Payment (cash, check, received via payment app, etc.) for my client by mistake. How do I delete it?
You can delete a manual payment from the Edit Payment screen for that payment by selecting the Delete button in the bottom lefthand corner of the invoice:
Please keep in mind that deleting a payment cannot be reversed and also deletes that payment's history (so that it's like it never existed).
Note: Payments made through Time To Pet Payments cannot be deleted.
