Exporting Data From Time To Pet

Time To Pet offers dozens of downloadable reports and documents. This article will review all of the things you can generate and download from your Time To Pet account.

All Client And Pet Data

To download all of the information stored in your client and pet fields for all of your clients, first, navigate to your Client List

At the bottom left-hand corner of this list, you can choose "Export Client Data" or "Export Pet Data". For the following instructions, we will use the "Export Pet Data" option.

Note: "Export Client Data" will only give you the option to export data from client fields, so if you want to include data from pet fields in your export, choose the "Export Pet Data" option. 

On the following screen, you can choose to include Inactive Clients, Deceased Pets, Inactive Pets, and Client Fields. Then, you can select which specific fields you want to include in your export.

Once you've selected all of the fields you want to be included, click "Export Data" in the lower right-hand corner. A CSV file with the selected data will be saved to your device.

Pets Filtered By Birth Date

To export a list of pets with a birth date before, after, or between a specified date or set of dates, navigate to Clients → Pet List

Then, choose a Birth Date filter, set the date field(s), and choose which pets to include from the Status dropdown menu. Click "Refresh", and then "Download" to download a CSV file with the pets that match the filters you set.

Client Information Sheet

To generate a quick printout of an individual client's details, including their pet details, start from the client profile and click "Quick Actions". Then, click "Print Contact/Pet Information".

A new screen will open with the data, which you can then print or save to your computer as a PDF document.

Client Invoices

You can download a PDF copy of any client invoice from the Edit Invoice screen by clicking "Download" in the lower-left corner of the screen.

Client Keys

To export a list of all client keys with their locations, navigate to Clients → Keys. You have the option to "Include Inactive Clients" at the top-right of the screen. Then, click "Export Key Data" in the lower-left corner of the list.

A CSV will be downloaded to your device that includes the following information: Key Name/Code, With (Location), Client's Pets, Address, City, State, and Zip.

Vet List

To download your Vet List, navigate to Clients → Vet List. Then, click "Export Vets" in the lower left-hand corner of the list.

This will download a CSV file to your device that includes the Vet Name, Email, Phone Numbers, Address, City, State, Zip, and Notes.

Payout/Withdrawal History

For Accounts Connected To Time To Pet Payments Powered By Stripe

To download a history of payouts you've received for a specified period of time, navigate to Invoicing → Payments. Just below the "Upcoming Payouts" section, specify the dates you want to pull data from, then click "Refresh" and then "Download".

A CSV will be downloaded to your device that includes the Payout Date, Gross Payment Amount, Fees, Payout Amount, # Of Payments, # Of Refunds, and Expected Deposit Date.

For Accounts Connected To WePay

To download a history of withdrawals you've received for a specified period of time, navigate to Invoicing → WePay. At the top of the screen, specify the dates you want to pull data from, then click "Refresh" and then "Download".

Specific Payout/Withdrawal Data

For Accounts Connected To Time To Pet Payments Powered By Stripe

To download the details of a single payout, navigate to Invoicing → Payments. The bottom section of this page includes all Sent Payouts. Click "Download" next to any payout to download a CSV that includes the Date of the payout, the Source (Client), gross Payment amount, Fee, and Net payout amount.

For Accounts Connected To WePay

To download the details of a single withdrawal, navigate to Invoicing → WePay. The bottom section of this page lists all withdrawals. Click "Download" next to any withdrawal.

A CSV file will be downloaded to your device that includes the date of the withdrawal, the withdrawal ID, status, net withdrawal amount, currency type, payout method, check sent date (if applicable), check mailing address (if applicable), and ACH receiving bank.

Payment History

For Accounts Connected To Time To Pet Payments Powered By Stripe

To download a list of client payments within a specified period of time, navigate to Invoicing → Payments → Payments tab. Select the date range for the data you want to pull, then click "Refresh" and "Download".

A CSV file will be downloaded to your device that includes the date of the payment, the source (client), the amount of the payment, the refunded amount (if any), and the processing fee that was deducted from the payment.

For Accounts Connected To WePay

To download a list of client payments within a specified period of time, navigate to Invoicing → WePay → Payments tab. Select the date range for the data you want to pull, then click "Refresh" and "Download".

A CSV file will be downloaded to your device that includes the date of the payment, client name, amount, fee, transaction ID, descriptor, refunded amount (if any), chargeback amount (if any), method, and state.

Staff/User Data

To export all of your staff/user data, navigate to Users or Staff. In the lower-left corner of the list, click "Export Staff/User Data".

In the next screen, you can choose to include inactive staff/users, then select all of the fields you want to export.

Once you've selected the fields you want to export, click "Export Data" in the lower right-hand corner.

A CSV file will be downloaded to your device that includes all of the information you selected.

User Invoices & Staff Pay Stubs

To download a CSV report or PDF copy of User Invoices or Staff Pay Stubs, navigate to Users/Staff → Pay Center. Underneath the Invoice/Pay Stub number, click the "Download" button.

Then, choose to download the PDF copy or CSV report of the invoice/pay stub.

Your selection will then be downloaded to your device. 

Pay Report

To download a report of how much you have paid (included on a staff/user pay stub/invoice) or are projected to pay to your staff members or users within a specified period of time, navigate to Staff/Users → Pay Center → Pay Report tab. Select the "Date To Filter On" and the date range, then click "Generate" and "Download".

A CSV file will be downloaded to your device that includes User/Staff names, the amount paid out, and the amount projected.

Tip Disbursements

To download a list of all historical tip disbursements, navigate to Staff/Users → Pay Center → Tips tab. In the lower left-hand corner, click "Download Tip Disbursements".

A CSV file will be downloaded to your device that includes all historical tip disbursement data with the following information: Client Name, Invoice #, Invoice Date, Invoice Due Date, Disbursed On (Date), User, and Amount.

Tip Reports

Tips Over Time

This report gives a breakdown of the total tips received within a specified period of time. Navigate to Staff/Users → Pay Center → Tip Report tab. Select "Tips Over Time" from the report menu on the left. Then, select the "Date To Filter On", the date range, then click "Generate" and "Download".

A CSV file will be downloaded to your device that includes the total tips received according to the specifications you set.

Tips By User/Staff

This report will show the total tips disbursed to each user/staff member within a specified date range. Navigate to Staff/Users → Pay Center → Tip Report tab. Select "Tips By User/Staff" from the report menu on the left. Then, select the "Date To Filter On", the date range, then click "Generate" and "Download".

A CSV file will be downloaded to your device that includes the tips disbursed to each staff member or user according to the specifications you set.

Tips By Client

This report will show how much money in tips each client has paid within a specified period of time. Navigate to Staff/Users → Pay Center → Tip Report tab. Select "Tips By Client" from the report menu on the left. Then, select the "Date To Filter On", the date range, then click "Generate" and "Download".

A CSV file will be downloaded to your device that includes the total tips paid by each client according to the specifications you set.

Pay Rates

To download a report to see every single user/staff member's pay rates for every single service you offer, plus extra pet, weekend, and after-hours rates, navigate to Staff/Users → Pay Center → Pay Rates tab. Click "Generate" and then "Download".

Pet Photos

To download photos that have been sent to clients, visit Messages → Gallery tab. You can set a date range of photos to populate and filter to show only photos sent to a specific client. Click "Download" underneath the photo you want to save, and a .jpeg image will be downloaded to your device.

Financial Reports

Time To Pet offers many different financial reports in Reporting → Financial that you can download as a CSV file. For more in-depth information on these reports, visit Understanding The Different Financial Reports or click "Help With This Report" above the generation tools for each report.

Revenue

The Revenue report uses an invoice's line Items as its underlying data source with any invoice's pro-rated discount applied. The date on each individual line Item will be taken into account and the invoice's date will not be considered. The revenue report does not include taxes or tips.

Payments

There are six different Payment reports that can be used.

  • Gift Cards
  • Payments - All
  • Payments - Applied
  • Payments - Open
  • Refunds

Sales

The Sales report considers invoices as a whole and will take into account either the Invoice Date or the Invoice Due Date (you are given the choice when generating the report). You can also choose only to include invoices that are completely paid or all invoices in this report. The sales report will report on taxes, tips, discounts, and paid amounts.

Schedule Reports

Time To Pet offers various schedule reports in Reporting → Schedule that can be downloaded as a CSV file. For more information on each report, click "Help With This Report" above the generation tools for each report.

Time To Pet has a robust built-in reporting tool that allows you to generate a list of staff or clients based on pre-defined filters. These filters can be combined in a multitude of ways to ensure you can quickly and easily segment your staff and clients.
