Pricing & billing

How much does DaySmart Payroll cost?
DaySmart Payroll pricing is simple and based on a monthly base fee plus a per-worker fee. Your total cost depends on how many workers you pay in a given month.


Monthly fees:

  • $40 per month, per company (per EIN)

  • $6 per worker, per month

  • Only charged for workers who receive at least one payroll payment that month

  • No extra charge for running payroll multiple times for the same worker in a month

Are there extra fees for year-end forms (1099s and W-2s)?
Yes, there’s a small $6 per-form fee for year-end filings like 1099s and W-2s.

Do 1099 contractors and W-2 employees cost the same per worker?

Yes, we charge a flat $6 fee for each worker that was paid that month

Do I pay anything if I don’t run payroll in a given month?
The monthly base fee still applies, but you won’t be charged per-worker fees if no payroll is processed that month.

How does your pricing compare to Square, QuickBooks, or other payroll providers?
We’re designed to be competitive with other small-business payroll tools, especially for pet care businesses. The big difference is that DaySmart Payroll is built to work closely with Time To Pet so you don’t have to juggle multiple tools.

Integration with Time To Pet

Is DaySmart Payroll already integrated with Time To Pet?
Not yet, DaySmart Payroll is in the process of being built to work with Time To Pet. Today you can use them together by running pay stubs in Time To Pet and inputting that information into the Payroll tool. We’re continually improving how your data flows from Time To Pet into payroll.

Will I still need to manually move numbers from Pay Center into payroll?
Yes, currently this requires manual data entry, but the goal is for Time To Pet to push pay data into payroll for you so you mainly review and approve, not re-type.

Getting started & Onboarding

What does onboarding to DaySmart Payroll look like?

Once you've joined the waitlist, and have been sent an invitation email by the Time To Pet Team, here's what you can expect during onboarding with the Payroll team.

Payroll Onboarding is made up of three steps: Employer Onboarding, Worker Onboarding and Data Migration.

  • Employer Onboarding – is establishing your employer payroll profile in the DaySmart Payroll system. This includes data such as federal & state ID numbers, bank account information, tax jurisdictions, setting up paycodes and deductions as well as signing the company documents & authorizations.

  • Worker Onboarding – is where we’ll work with you to onboard your workers. There are two approaches to worker onboarding that will be discussed during your payroll onboarding meeting. Examples of worker data required for onboarding include worker demographic data (legal name, address, SSN, etc.), federal and state payroll withholding allowances, and direct deposit information.

  • Data Migration – if you have paid workers during this calendar year, we will need to migrate the wage, tax and payment information to the DaySmart payroll system. This is the final step in onboarding, and our onboarding specialists will guide you through the process.

Can you import my historical payroll so you can handle year-end forms?
Yes, we will. If you have past payroll data from your current provider, we will migrate that data into DaySmart Payroll so we can issue accurate year-end forms. This is the final step in the payroll onboarding process.

What are pay groups?

“Pay groups” are organizational buckets used to group workers together who share the same pay frequency and schedule.

What pay types do you support?

DaySmart Payroll supports multiple pay types to cover the common ways employees and contractors are paid in pet care businesses. You can setup hourly, salary, overtime, double overtime, cash tips, product commission, reimbursement, service commission and mileage reimbursement.

What time-off types do you support?

DaySmart Payroll supports tracking sick pay and vacation pay. The system allows employers to configure accrual policies and limits for these types.

What benefit types do you support?

DaySmart Payroll supports a variety of benefit types that can be configured and tracked as payroll deductions or employer contributions. We support health benefits like dental insurance, post-tax health benefit, medical insurance and vision insurance. The system also supports retirement benefits like a 401(k), simple IRA and a Roth 401(k)

Do I have to match my employer user email with my Time To Pet admin email?

Matching these email addresses is the preferred way but if you want to use a different email for your employer user login then we can accommodate this. But you will need to use the correct associated Time to Pet email address for your worker profile if you intend to pay yourself though payroll. The benefit of using the same email for your employer and worker profiles is that you can easily switch between them using the account selector.
